**Key Takeaways:**

For daycares, scheduling around sick time, vacations and leaves of absences is complex. And when time-tracking, scheduling and payroll are separate tools, the gaps create manual reconciliation work, compliance risk, and errors that are bound to show up on payday. And nobody running a childcare center has time for that!

Daycare operators wear a lot of hats. On any given morning, the same person managing room ratios, greeting families at the door, and fielding a question from a parent about the field trip permission form may also be the person who runs payroll every two weeks.

The payroll. HR and time tracking tools most childcare centres are using weren't built for daycare’s unique challenges. Payworks can help.

## Why scheduling, tracking time-off and paying ECE’s correctly is one problem, not three

Here's how it tends to look in practice: Scheduling lives in one place (a whiteboard, a shared Google calendar, or text message chain). Sick time, PTO and leaves are tracked somewhere else (maybe a column in a separate spreadsheet). And payroll is processed through software that doesn’t connect.

Scheduling, tracking time-off, and paying staff correctly aren't three separate problems. They're one problem running across three disconnected systems. Anyone running payroll knows these are major headaches.

## What it actually costs when they're not connected

**The time cost** is the most visible. Every pay period, someone is manually moving information between systems, cross-referencing and manually inputting data. For a director already running the centre, that's time taken away from everything else. For a small centre without dedicated admin staff, it often means payroll happens at 9 p.m. on a Tuesday, after the kids have gone home and the sticky notes have piled up.

The compliance cost is never quiet. Sick time entitlements under provincial employment standards aren't optional, part-time and casual ECEs accrue paid sick leave based on hours worked, and tracking it accurately is your obligation.

But the bigger cost isn't the correction process. It's trust.

When an employee is paid incorrectly or not paid what they were entitled to, they notice. They may not say anything, but they remember. For ECEs already working in a demanding, modestly paid sector, a payroll error isn't just an inconvenience. It's a signal.

Your two real costs are time and headaches, and employee trust in their pay. The first two are recoverable. The second one is harder.

For centres receiving CWELCC funding, there's a third cost: grant reporting. Labour costs allocated to funded programs need to reflect what happened, who worked, in what role, for how many hours. When scheduling, absences, and payroll live in separate systems, producing that picture accurately means manually reconstructing it. Every quarter.

## Sick time specifically: the rules are more complicated than most directors expect

Provincial sick leave legislation varies, and it has been changing. Most provinces now have some form of paid sick leave for employees, but the entitlement amount, the accrual method, the eligibility threshold, and the documentation requirements differ by province and by employment type.

For a licensed daycare with full-time, part-time, and casual ECEs, that means the sick time calculation is rarely the same for every employee on the roster. A full-time ECE in Ontario has different entitlements than a casual supply ECE in Alberta.

A few things worth knowing:

- Sick leave entitlements typically accrue based on hours worked, which means they need to be tracked from the first shift, not just for full-time permanent staff.
- Part-time and casual employees are generally entitled to sick leave on a prorated basis. "They only work occasionally" is not an exemption.
- Some provinces require employers to keep records of sick leave taken and balances available. If that record lives in a notebook, it's hard to produce quickly if it's ever needed.

Payworks' [Absence Management](https://www.payworks.ca/solutions/absence-management) tracks entitlements, balances, and absences for all time-off types in the same system as payroll making accurate pay days a breeze.

## What absence management looks like when it's working

When scheduling, time off, hours worked and payroll live in different places, one sick call creates a chain of manual work.

The director has to update the schedule, find coverage, record the absence, collect the replacement employee’s hours and make sure every change reaches payroll correctly. Miss one update, and someone’s pay or time-off balance can be wrong.

Payworks connects that entire workflow.

An ECE calls in sick and submits their time off through Payworks Self Service. Their manager reviews and approves it in the same app, and the approved absence flows into Time Management and Payroll without being entered again.

The director finds coverage for the room. The ECE taking the shift clocks in and out through Payworks web time or time clocks, and those hours flow directly to payroll according to the centre’s configured time and payroll rules.

When the pay run opens, the approved absence and replacement hours are already there. The director is reviewing (not reconstructing) the information.

That matters in a childcare centre, where the person running payroll may also be managing educators, maintaining room coverage and responding to families. Payworks removes the work of chasing the same information across schedules, messages and spreadsheets, giving directors more time for everything else that can’t wait.

## The question worth asking before your next pay run

Before your next processing date, pull out however you currently track absences, schedules and hours worked. How long does it take to reconcile those three sources into an accurate payroll? How confident are you that nothing slipped?

If the honest answer is "it takes too long" or "pretty confident, but I can't always be sure”, that gap is worth looking at.

Payworks connects [Time Management](https://www.payworks.ca/solutions/time-management), [Absence Management](https://www.payworks.ca/solutions/absence-management), and [Payroll](https://www.payworks.ca/solutions/payroll) in one platform and one database so hours, entitlements, and time-off flow to payroll without a manual step in the middle.
